The Intercontinental Hotel and Crowne Plaza Hotel stand tall on Dubai Creek and are ideally located for business close to Dubai International Airport. The hotels are ideal for medical meetings, providing all facilities to accommodated doctors and ensure the execution of a top-notch meeting.


The conference is taking place at the Events Centre that is equally distanced from the lobbies of the three hotels.

Terms & Conditions

 

  • The minimum guaranteed room nights per delegate is 3 nights.
  • It is not allowed for delegates to be accommodated through third-party agents including travel agents without the PCO’s notice.
  • Total room quantity allocated is subject to company level of participation.
  • Any rooms required before or after the dates of the event will be charged at a rate subject to availability.
  • Late check-outs are not guaranteed by the PCO but will be requested to the hotel. Any late check-out after 12 PM is chargeable at a half-day rate up to 6 PM and full day rate onwards.
  • Early check-ins are not guaranteed by the PCO but will be requested to the hotel. Any early check-in before 12 PM is chargeable at a half-day rate from 8 AM and full day rate prior.
  • Higher category rooms will be provided at a rate subject to availability wherein the rate will increase by USD 50-100 between 1 July 2025 to 15 August 2025.
  • Quantities booked by companies during the contracting phase are guaranteed on a guaranteed room count per night basis and not total room nights basis.
  • Based on the final room count as per daily guaranteed regardless of the total room nights before or after the periods of the peak nights, companies are required to cover attritions post-event.
  • All accounted for hotel bookings need to be given to the PCO by 19 September 2025 whereas additional rooms required would be subject to availability and subject to a new rate.
  • Cancellations at no cost are possible only 60 days prior to the event on 1 August 2025.
  • For all changes in the rooming list please use the “amend” column in the master template to indicate the changes as to avoid confusion during communication.
  • Confirmed rooms by communication are accounted for and are invoiced 90 days onwards prior to the event.
  • Changes to the rooming list are only possible up till 5 days prior to the event wherein changes requested thereafter will not be accepted due to hotel booking policies.
  • No-shows are not guaranteed for the booked period and are subject to availability.
  • No-shows are non-refundable but can be exchanged with another name up to 5 days prior to the first check-in.
  • Lumina is not liable for any losses, injuries nor no-shows.
  • All payment for rooms must complete before the conference by 5 September 2025 and not after (no credit facility will be provided through the PCO).
  • The PCO requires to know if any faculty are to be accommodated under your company’s list as part of their institutional list. Companies are requested to inform us of the full flight and hotel arrangements for security, logistics, and onsite purposes.
Rate Changes

Lodging rates are subject to change based on availability wherein an increment of USD 50-200 is expected on the following dates:

Tier 1 Expiry:    Until 1 April 2025
Tier 2 Expiry:    Until 1 July 2025

Visa and Travel

Assistance with visa applications can be requested directly from the PCO wherein an invitation letter can be provided for sponsored delegates who are also accommodated at the conference venue and visa processing is possible at USD 200 for a single entry with the following requirements:

 

  • Clear colored copy of valid passport, at least 6 months before date of travel
  • High resolution passport size image in white background
  • Father and mother full name

It is highly recommended that companies check with the Emirati diplomatic mission in their delegates’ countries of residence prior to travel to ensure that they have all the necessary information and paperwork for travel. Several countries do not require a visa to enter the UAE.US and European passport holders as well as other nationalities can obtain visa upon arrival.
